Privacy notice
Last updated 24 October 2026
This notice explains how Yagni Ltd ("we", "us") collects and uses personal information in running our ERP consultancy, and what rights you have. It covers people we deal with directly: clients' and prospective clients' staff, people who take part in meetings with us, people who contact us, and visitors to this website.
It does not cover the information we process inside the systems we build and run for clients (for example, their customers' records). For that information we act on our client's behalf, and the client's own privacy notice applies.
Who we are
Yagni Ltd, a private limited company registered in England and Wales (company number 13821537).
- Registered office: 19–20 Bourne Court, Southend Road, Woodford Green, Essex, IG8 8HD
- Email: jon@pincas.eu
We are the controller of the personal information described in this notice. We have not appointed a data protection officer.
What we collect, why, and on what basis
| Information | Why we use it | Legal basis |
|---|---|---|
| Business contact details: name, job title, company, email, phone | To talk to you about, agree and deliver services, and to keep in touch about our work | Performance of a contract with you or your organisation; otherwise our legitimate interest in running our business |
| Correspondence: emails and messages you send us | To respond and keep a record of what was agreed | Legitimate interests; contract |
| Meeting information: your name, email address, what is said in meetings (transcribed as they happen), and screenshots of any screen shared | To run client working sessions, keep an accurate record of decisions and turn them into written specifications | Performance of a contract with your organisation; legitimate interests |
| Invoicing and payment records: company details, contact names, amounts, dates | To invoice, take payment and meet tax and accounting obligations | Contract; legal obligation |
| Website information: technical information sent by your browser, such as IP address and pages requested | To deliver the website and keep it secure | Legitimate interests |
Meetings are not recorded as audio or video. They are transcribed live and the transcript, key screenshots and agreed task list are kept as the record of the session. Please avoid sharing identifiable details of your own customers or other people during a session unless they are needed for the work; anything that does appear is removed from the written record.
Who we share it with
We do not sell personal information or use it for advertising. We use the following providers (our sub-processors), who process it only on our instructions and under written data protection terms. The same list, with any changes we have announced, is published at /subprocessors; we tell our clients about each change before it takes effect.

Transfers outside the UK and Europe
Some providers process information in the United States. Each transfer is protected by the UK International Data Transfer Agreement, the European Commission's standard contractual clauses with the UK addendum to them, or the EU-US Data Privacy Framework and its UK extension, as set out in each provider's data processing terms.
How long we keep it
- Business contact details and correspondence: for as long as we work together, and up to two years after our last contact.
- Meeting records: working transcripts and screenshots are deleted from the meeting application once the session record has been saved. The session record is kept with the client's project for as long as we work on that project, and is handed over to the client or deleted when the engagement ends.
- Invoicing and accounting records: for the periods required by UK tax and company law, normally six years.
- Website technical information: for a short period, for security purposes.
Your rights
You have the right to ask for a copy of your information; to have it corrected or deleted; to restrict or object to how it is used (including where we rely on legitimate interests); and to receive it in a portable form. To use any of these rights, email jon@pincas.eu. We will reply within one month.
If you are unhappy with how we handle your information, please tell us first. You can also complain to a data protection authority: in the UK, the Information Commissioner's Office (ico.org.uk); in Spain, the Agencia Española de Protección de Datos (aepd.es).
